Set Up
Setup is on Friday from Noon to 6pm and Saturday morning from 7am to 9am with the show opening promptly at 9am for VIP's. Show hours are from 10am to 5pm on Saturday and 10am to 5pm on Sunday. No tables/displays are to be dismantled or removed prior to the close of the show. Upon arrival, go to the vendor registration table for welcome packages and booth assignment. The registration booth will close at 8am Saturday.
Booths
Booths are 8'X8' with approximately two additional feet between every other vendor. Booths are $140 each and include one 8'x2.5' table. Additional tables may be brought in or rented from the show but must fit within your space and in no way affect your neighbor. The maximum number of tables per space is two, whether your own or rented from the show.
Display
We ask exhibitors to decorate booths to make the appearance look very neat and professional. We encourage exhibitors to bring banners. We require that all exhibitor tables have table covers and skirts in some fashion. For those that do not have these items, at the exhibitor check in booth, we provide color plastic table cover for $3, plastic table skirts for $6 and very nice expo knit table skirts for $30. We also offer banner, banner stands, color business cards, color postcards and other exhibitor products. Order now, pick up at the show and avoid shipping charges!
Booth Assignments
The location of your booth is based upon the following:
Receipt of Registration- The earlier you register, the more likely you will end up in the spot of your choosing. Early registration gives us more time for actually promoting the show.
Previous Placement along with early registration. Being there before doesn't guarantee you will be there again.
Promotion of the Show - There are several ways you can help promote the show that could cost very little or nothing at all;
Notify your customer base.
Place show banners on your website.
If you see a web calendar the show isn't listed on, add it.
Post on forums you participate in.
Add a little blurb in your print advertising such as Reptiles Magazine.
Participation in the Show -Sponsor an aspect of the show, provide some pens or a coupon, etc. for the VIP tote bags, speak on a topic of your expertise, design a really cool and innovative booth display. Make some possitive noise.
Badges
You will be provided two badges with your booth regardless of the number of booths you are ordering. Each addtional badge is $12 with a maximum of two badges per booth space allowed. Vendors sharing more than one booth space should register individually to increase number of badges allowed. Badges purchased at the show or during setup will not be given consideration, such as lunches, shown to those who are preregistered.
Electrical Outlets
You may plug into an electrical outlet for a fee of $35. This fee is charged for each vendor using electricity rather than for the outlet. The actual kilowatt charge is paid by Gila Productions.
Rules of Sale & Guarantee Disclosure
- Include with your registration a disclosure of your return policy or guarantee regardless of what it is. It will be kept on file at the expo and used in resolving any disputes with customers. This is to help protect vendors from false claims made by customers. Printed materials as well as the web-site will advise attendees to ask what your policies are.
- Only healthy animals will be offered for sale.
- No venomous reptiles may be sold or displayed.
- Take time to educate buyers.
- Indigenous reptile sales require a permit from LAW&F. Call
225-765-2998, press 1 for a live person. Tell them you want the $75 non-Resident reptile permit. This may take as much as 30 days by mail. You may also pick up a permit at their office,
2000 Quail Drive in Baton Rouge.
- Refer to the indigenous list to be sure what you sell is not regulated by the state.
- You are responsible for collecting the 4% LA Sales Tax
- Cages must be secured. Unclaimed escapees will be offered as door prizes.
-
Armstrong Cricket Farm will be the sole vendor of crickets, mealworms and superworms.
-
GlassCages.com, aka Twin Oaks will be the sole vendor of glass tanks and grapewood.
-
The show name is not to be used on material for sale such as t-shirts, bumper stickers, etc, without consideration for and permission by Gila Productions.
Security will be provided during the expo and the building is armed and patroled overnight by Jefferson Parrish Police. No one will be allowed to enter the building once we close. Make sure you have all your belongings before exiting. Alex will be the last person to leave the building and the first to enter in the morning. Please do not arrive early expecting to get in. When we do not let you in before the announced time it is because other vendors who are not there yet expect that no one is in the building. It's not because we just want to make you stand outside.
These rules are intended to help insure safety, convenience, success for everyone and compliance with state and local regulations. Gila Productions reserves the right to take any measures necessary which are for the good of the show and its vendors.
Let people know where you will be. Use one of the these banners on your site.
